APPLICATION PROCEDURE & FEES
 
If you wish to apply to rent a property please observe the following procedure:-

Application fees
Single Applicant:- £150 (including VAT)
Two Applicants:- £200 (including VAT)

If a prospective tenant withdraws their application after we have commenced with processing references or should the landlord reject the application due to adverse references, poor credit score or insufficient proof of earnings and identity, the application fee will be forfeited to cover costs incurred.

A tenancy will be offered to you subject to contract and more specifically, subject to the following conditions:

  • A fully completed application form has been submitted together with identification and appropriate application fee.
  • A satisfactory credit search has been carried out by an independent credit referencing agency (details available on request).
  • Satisfactory references have been obtained.
  • Landlords agreement to the tenancy.
  • Proof of employment.

    PROVIDING PROOF OF IDENTITY

    In Branch Original documentation can be brought to the branch where we can copy and return them immediately.
    By Email is another method but your scanned documents must be clear and easy to read in PDF format and in a printable mode. If your documents are illegible then we cannot process your application. The email address to send your application to is karen@handleygibson.co.uk
    By Post please do not post original documents, provide photocopies only.
    We accept no liability for the loss or return of any original documents and so these should NOT be posted to us.

    Please provide the following identification:

  • Application Form Fully Completed
  • Copy of Driving License or Passport with a photograph.
  • Copy of Driving License of Passport with photograph for anyone intending to live in the property with you.
  • Proof of current address.
  • Copies of 3 recent pay slips or a letter confirming employment from place of work.
  • Copies of Bank Statements Showing wages received.

    To confirm your address you must provide any of the following:
  • A driving licence showing the current address.
  • A recent (no older than 3 months from date of issue) gas, electric, water,
    Land line telephone bill or credit card statement.
  • A recent Council Tax Bill (no older than 3 months from date of issue)
  • Letter on headed paper from the personnel/human resources department of the employer confirming current address - this letter must be signed and dated by the payroll department or the financial director and contain the printed name and position of the signatory.
  • A current Mortgage Statement.
  • A current homeowner’s household insurance policy schedule
  • A current Tenancy Agreement

  • Once these documents and your application form are received in our office they will be reviewed. If your application is put forward to go through the application process we shall call to take your application fee payment as detailed above. This will ensure that the property is removed from the market subject to your application being approved. Your application will then go through a series of checks which should take 2 to 3 days to complete by our office providing we have all of the information required.

    GUARANTOR APPLICATION

    Please provide the same as detailed above. You may be asked to provide a guarantor in some cases. Please note a guarantor application fee would then be payable of £50.

    TO START YOUR TENANCY

    Should your application be accepted you will be contacted by telephone to arrange an appointment for the date you wish to start your tenancy this is your sign up date and will be the first day of your tenancy rent being payable from this date onwards. On your sign up date you will be required to come to our offices when a payment of the first month’s rent and deposit is required by cash, debit or credit card (handling charge applies to credit cards of 2.5%). You will be required to sign the tenancy agreement for the property along with your Tenancy Deposit Scheme agreement and your Inventory (copies of which will be provided to you). When the monies have been paid and the agreement has been signed we can therefore issue keys to the property. Your payments of rent will then be due on the same day of each month of your tenancy commencement date. If you have any queries regarding rent payments please contact our accounts department.

    DATA PROTECTION POLICY

    Handley Gibson are committed to keeping your personal details secure, and we will not give your details out to third party companies except as required to carry out our normal duties and liaise with subcontractors.

    1. Your personal details including telephone numbers, email address etc are all protected by law under the Data Protection Act 1998 and we will take reasonable precautions to comply with these privacy rules.
    2. You will be required to submit personal and financial details prior to us taking up references. In applying for your tenancy (and signing this document), you agree to us passing on these details to a credit reference agency or to your nominated referees for referencing purposes. As agents, we act for our client landlords, and so this information may also be passed on to the Landlord of your property as required.
    3. During the management of your tenancy, we may be required to pass on your contact details to our subcontractors, utility companies and other related parties for example to arrange access to carry out maintenance on your heating system or to ensure that you are correctly billed for services used.
    4. Where there are rent arrears or other charges remaining at the end of the tenancy, we reserve the right to pass on your details to a tracing agent or debt collection company to help recover the money owed to us. Leaving unpaid rent and other bills at the end of your tenancy may affect your credit rating, and your ability to obtain a new tenancy, or other credit facilities.

    Handley Gibson is a responsible data collector and will process any personal data in accordance with the required data protection rules. We will not pass on your personal details to any external organisation for marketing purposes without your written permission.

    MONEY LAUNDERING POLICY

    (Money Laundering - Proceeds of Crime Act 2002) We now have a legal obligation to obtain proof of identity for any clients who are dealing with us for the first time. This includes Landlords, Tenants and Guarantors. The legislation is aimed to combat financial crime and protect all parties concerned, from fraud.

    RIGHT TO RENT

    Right to Rent (Section 22 of the Immigration Act 2014)

    We have a legal obligation to ensure that every adult occupier of rented accommodation has a legal right to reside in the UK. British citizens, citizens from the European Economic Area (EEA) and Swiss nationals have an automatic right to reside. In most of these cases the ID documents requested above will suffice as proof of your Right to Rent without further documentation being required. However, on occasion further evidence may be requested. For all other nationals, we shall require documentary evidence of either an unlimited right to reside, or a time-limited right to reside in the UK. All documents being provided must be the originals and be presented at the office for verification, in person, by the document holder themselves. If you are unable to prove your right to rent in the UK then the law prohibits us from providing you with accommodation.

    PROPERTY INFORMATION

    If in any doubt as to what is included within the let (i.e. furniture, appliances etc.) you should seek further clarification prior to submitting your application for the tenancy you are applying for is a fixed term initially of 6 months. If after the expiry of a fixed term one or both parties wish to extend the tenancy, the tenancy shall then continue on a month by month basis until notice is given of one month.

    Please note that we do not allow children or pets in any of our apartments.
    All rents quoted are exclusive of Council Tax, Water Rates and Utilities.
